Duties: | Responsibilities
The Sales & Operations Administrator must be able to do the following on a day-to-day basis:
Do the right thing!
Compiles, transcribes, generates, and distributes reports for: sales, leads, inventory, Customer Relationship Management (CRM) tool, finance, Contracts In Transit (CIT), dealer trades, etc.
Coordinates meetings, events, and special projects
Reads and analyzes incoming memos, correspondence, submissions, and reports in order to determine their significance and plan their distribution
Files and retrieves sensitive documents, records, and reports; manages dealer trade inventory, daily spin numbers
Coordinates all training for Longo Toyota of Prosper, processes Retail Delivery Receipts (RDR’s), and all Customer Satisfaction Index (CSI) reports
Assists with all End of Month (EOM) letters, including monthly top performer letters, and other EOM reporting
Prepares correspondence letters for General Manager and guest service
Prepares monthly Business Review Book, to include reports: sales write up, 3-month average, 3-month CSI average, lease return, etc. Update newsletter, focus points and goals, dealer trade report, marketing report, sales summary with previous year comparison, Finance & Insurance (F&I), CSI, hybrid rankings, sales managers gross report, etc.
Upholds and maintains confidentiality and professionalism at all times
Compiles, transcribes, and distributes minutes of meetings
Works with and provides information to all levels of management
Assists the dealership in all other areas and performs other administrative duties as assigned; i.e. generating general business documents
Handles and resolves guest concerns in a timely and professional manner
Assists with phone calls and schedules for General Manager; acts as the primary liaison to the Sales Department
Maintains high ethical standards in all actions
Maintains a professional appearance at all times
Manages executive calendars and handles travel arrangements |
Experience Required: | Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual should possess:
A high school diploma or equivalent; college degree desired
Demonstrates high ethical standards when handling confidential information and files
A minimum of three (3) years of executive administrative experience; proficient in Microsoft Office programs (Word, Excel, PowerPoint)
Knowledge of principles and processes for providing customer and personnel services; the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology; and mathematical principles (adding, subtracting, dividing, multiplying, and percentages)
Ability to compose, proofread and edit correspondence and other written work; analyze information and situations and follow through with proposed solutions or alternatives, presenting them in a logical manner; coordinate activities with other employees; use good judgment under challenging situations; use discretion to exercise the utmost in confidentiality; read and comprehend instructions and information in the English language; work well with the public; communicate in a professional manner on the phone, internet and in person; and use standard office equipment |
